This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you interact with our Service, including via SMS, WhatsApp, or other messaging channels.
This policy also covers ezmedsource.com and the EzMedSource Marketplace at shop.ezmedsource.com, including marketplace accounts, quote requests, and usage data collected through Google Analytics.
By using the Service, you consent to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the Service.
2. Information We Collect
When you use the Service — including when you send us a text message or WhatsApp message — we may collect:
- Phone number — your mobile or landline number used to contact us
- Message contents — the text of messages you send to and receive from the Service
- Media uploads — images, voice notes, documents, or other files you send
- Metadata — timestamps, message delivery status, and session identifiers
- Device identifiers — if you voluntarily provide device serial numbers, model numbers, or similar equipment identifiers for support purposes
We do not require you to create an account to use the messaging service. We collect only the information necessary to respond to your request.
On ezmedsource.com and the EzMedSource Marketplace (shop.ezmedsource.com), we may also collect:
- Account information — name, email address, organization, and role, if you create a marketplace account
- Quote requests — the contents of quote requests, vendor bids, and related order activity
- Usage data — pages visited, approximate location, and device and browser information, collected through Google Analytics
3. How We Use Your Information
We use the information we collect for the following purposes:

4. AI Processing Disclosure
Messages you send to the Service may be processed by artificial intelligence (AI) models to generate responses. These AI models may be operated by EzMedSource or by third-party AI providers working on our behalf. AI-generated responses are for informational purposes only and do not constitute medical advice.
5. Conversation Logs
We may store conversation logs — including message contents and associated metadata — for the purposes of debugging, testing, quality assurance, and service improvement. These logs are accessible only to authorized personnel and service providers who need them to operate the Service.
6. Information Sharing
We may share limited information with third-party service providers that are required to operate the Service, including:
- Twilio — for SMS and WhatsApp message delivery
- Cloud hosting providers — for data storage and compute infrastructure
- AI providers — for processing messages and generating responses
- Google Analytics — for website and marketplace usage analytics
These providers are contractually required to use your data only for the purpose of providing services to us and to maintain appropriate security measures.
We do not sell personal information. We will never sell your phone number, message contents, or any other personal data to third parties.
7. Data Retention
We retain personal information collected through the Service for up to 12 months from your last interaction, unless you request earlier deletion. Aggregated, anonymized data that cannot be used to identify you may be retained indefinitely for analytics purposes.
8. Security
We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission, access controls, and regular security reviews. However, no method of electronic transmission or storage is 100% secure. 9. Children's Privacy
The Service is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will promptly delete it. 10. Your Rights & Data Deletion
You may request deletion of your personal information at any time by contacting us at support@ezbizportal.com. We will process your request within 30 days and confirm deletion via the contact method you provide.
You may also opt out of the messaging program at any time by replying STOP to any message from us.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Effective Date” at the bottom of this page. Your continued use of the Service after changes are posted constitutes acceptance of the updated policy.
